Calm Cove Hospitality LLC, doing business as Calm Cove Rentals (“Calm Cove,” “we,” “us,” or “our”), operates vacation rental properties in Marco Island, Florida, and the website calmcoverentals.com (the “Site”). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices and rights you have. It applies to information collected through the Site, when you book or stay at one of our properties, and when you communicate with us by email, phone, text, or through booking platforms.

1. Information We Collect

Information you provide to us

• Booking and reservation details: name, email address, phone number, billing address, dates of stay, number and ages of guests, pet information, and any special requests.
• Payment information: payments are processed by third-party payment processors. We do not store full credit card numbers on our systems; we receive confirmation of payment and limited card details (such as card type and last four digits).
• Communications: messages you send us through our contact form, email, phone, text message, or messaging features on booking platforms.
• Identity verification: where required for booking, we may collect information needed to verify your identity or age.
• Reviews and feedback: reviews, survey responses, and other feedback you choose to share.

Information collected automatically

• Usage and device data: IP address, browser type, device identifiers, pages viewed, referring URLs, and dates and times of visits, collected through cookies and similar technologies (see Section 5).
• Smart home devices: our properties use smart locks for contactless check-in. These systems record when access codes are created and used. Some properties may have exterior security cameras (never inside living areas); where present, cameras are disclosed in the property listing.

Information from third parties

If you book through a platform such as Airbnb, Vrbo, Expedia, or Booking.com, we receive reservation details from that platform (such as your name, contact information, and stay details). Those platforms have their own privacy policies governing the information you provide to them.

2. How We Use Your Information

• Process and manage reservations, payments, refunds, and security deposits
• Provide check-in instructions, door codes, and your digital guest guidebook
• Communicate with you before, during, and after your stay, including 24/7 guest support
• Send booking confirmations, receipts, and other transactional messages
• Send marketing emails about offers and our properties (you can opt out at any time)
• Improve our Site, properties, and services, including through analytics
• Protect our properties, guests, and team, and prevent fraud or misuse
• Comply with legal obligations, including Florida tourist tax and lodging requirements

3. Legal Bases for Processing (Guests in the EEA, UK, and Similar Jurisdictions)

Where the EU or UK General Data Protection Regulation (GDPR) or similar laws apply, we process your personal information on these legal bases: performance of a contract (processing your booking and providing your stay), legitimate interests (improving our services, securing our properties, preventing fraud), consent (marketing emails and non-essential cookies, which you may withdraw at any time), and legal obligation (tax and regulatory requirements).

4. How We Share Your Information

We do not sell your personal information. We share it only with:

• Service providers: companies that help us operate, including our website and booking platform, payment processors, property management software, smart lock providers, guest messaging tools, cleaning and maintenance teams, and email service providers. They may use your information only to provide services to us.
• Booking platforms: if you booked through Airbnb, Vrbo, Expedia, or Booking.com, we exchange reservation-related information with that platform.
• Analytics and advertising partners: as described in Section 5, subject to your cookie choices.
• Legal and safety: when required by law, court order, or government request, or to protect the rights, safety, or property of our guests, our team, or others.
• Business transfers: in connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

5. Cookies and Tracking Technologies

We use cookies and similar technologies to operate the Site, remember your preferences, analyze traffic, and personalize content and advertising. We share information about your use of our Site with social media, advertising, and analytics partners, who may combine it with other information you have provided to them or that they have collected from your use of their services.

You can manage cookies through the cookie banner shown when you visit the Site and through your browser settings. Declining non-essential cookies does not affect your ability to browse or book.

All visitors and guests

You may request access to, correction of, or deletion of your personal information, and you may opt out of marketing emails at any time by clicking “unsubscribe” in any marketing message or contacting us at the address below.

Depending on your state of residence (including California, Colorado, Connecticut, Texas, Virginia, and others), you may have the right to know what personal information we collect, request its deletion or correction, opt out of targeted advertising, and not be discriminated against for exercising these rights. We do not sell personal information for money; our use of advertising cookies may be considered “sharing” or “targeted advertising” under some state laws, which you can opt out of via the cookie banner.

EEA, UK, and other international guests

You may also have the rights to restrict or object to processing, to data portability, to withdraw consent at any time, and to lodge a complaint with your local data protection authority. We keep personal information only as long as needed for the purposes described above: reservation and payment records are retained as required for tax, accounting, and legal purposes (generally up to seven years); guest communications are retained while useful for guest support; and marketing data is retained until you opt out. We then delete or anonymize the information.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect your personal information, including encrypted payment processing through our payment providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9. Children's Privacy

Our Site and services are intended for adults. Reservations must be made by someone 18 or older, and we do not knowingly collect personal information from children under 16. Guest counts may include the number and ages of children in a party, provided by the booking adult.

10. Third-Party Links

The Site contains links to third-party sites and services, including booking platforms and our Instagram page. We are not responsible for their privacy practices, and we encourage you to review their policies.

11. Changes to This Policy

We may update this Privacy Policy from time to time. The “Effective date” above shows when it was last revised. If we make material changes, we will post the updated policy on this page and, where appropriate, notify you by email.
